Travel Coordinator

Position Purpose

The Travel Coordinator is responsible for managing and overseeing all aspects of corporate travel arrangements for employees, contractors, and guests. This role ensures efficient, cost-effective, and compliant travel planning while maintaining a high level of service and support. The Travel Coordinator works closely with internal departments, travel agencies, and vendors to coordinate flights, accommodations, ground transportation, visas, and travel documentation.

This position provides efficient domestic and international travel and other general services opportunities to EG LNG employees ensuring safe and collaborative work practice with the team members. The focus includes strict compliance with EG LNG policies and procedures, Admin Services Policies, HR policies, and EG LNG HESS Procedures and Policies.

The Travel Coordinator responsibility expectation is to display a high performance and commitment towards safe and proactive conscience work behavior.

Job Functions

Travel Coordination:

  • Arrange domestic and international travel for employees, including flights, accommodations, ground transportation, and visa processing.
  • Ensure travel plans align with organizational policies, budgets, and schedules.
  • Maintain accurate travel records and provide support for travel-related issues or emergencies.
  • Liaise with travel agencies, airlines, and hotels to secure cost-effective and reliable services.
  • Coordinate the employees’ flights and goods.
  • Work with travel agencies and transport providers to ensure timely and compliant logistics operations
  • Track flights arrangements and resolve any changes or delays issues.
  • Maintain travel logistics documentation, including customs paperwork, and inventory logs.

Administrative Duties:

  • Monitor and report on travel and logistics expenses.
  • Maintain databases for travel bookings, vendor contacts, and goods shipment tracking.
  • Support travel and logistics tickets procurement and vendor management services.
  • Ensure compliance with internal policies and external regulations.
  • Monitor and update travel restrictions in a timely manner as reported in local and international trusted sources
  • Participates as required, in other activities as assigned from time to time by the line manager or supervisor, including personal training and development assignment opportunities.

Education and Experience

Essential:

  • Bachelor’s degree, Travel & Logistics Services, Business Administration, or a related field.
  • 5 years of experience in travel coordination and/or logistics operations.
  • Familiarity with travel booking systems and logistics software.
  • Knowledge of international travel and customs regulations.
  • Valid driver’s license (type B or C) and good driving record required.

  • Proficiency in Microsoft Office and relevant travel/logistics platforms.

Physical Requirements / Work Conditions

  • Work consists of unconstrained, seated office work.
  • Outdoor and indoor areas in an air-conditioned environment.
  • Handle light luggage and packages.

Equipment Operated

  • Standard office equipment (computer, printer, copier, etc.)
  • A wide range of manual/automatic transmission vehicles as available including Muller and Golf Cart.
  • Portable Two-Way Radio and Cell Phone.
